New in Backlog Documents: Tags, subpages, TOC, and embeds

When we first introduced Backlog’s new documents editor last October, our goal was to make it easier for teams to collaborate, share knowledge, and keep important project information all in one place. Since then, we’ve been listening closely to your feedback, and we’re excited to share the latest improvements designed to make your document workflow even more efficient.

These updates help you better organize content, navigate longer documents, and bring your favorite tools right into the editor. Whether you’re documenting processes, creating team guides, or building internal wikis, these enhancements are here to save you time and keep everything connected.

What’s new in Backlog’s document editor:

Tagging for easy document organization

Now you can add tags to your documents—just like you can with Wikis. Tags help you group related docs together so everything stays easy to find.

When you click on a tag below the document title, a pop-up appears showing all documents with the same tag. No more digging through folders or relying on search—just click and go.

Insert dynamic document lists with /Subpages

Want to reference other documents inside your current one? Use the new /Subpages slash command to automatically insert a real-time list of sub-documents.

The best part? It stays up to date. If you move or rename a doc, your list updates instantly, so you never have to manage it manually.

Add a live Table of Contents 

Long-form content is easier to navigate with our new Table of Contents feature. Just use the /toc command to insert a TOC based on your document’s headings.

It updates live as you edit, so readers can quickly jump to any section—even as the content evolves.

Embed tools like Cacoo, YouTube, and Figma

You can now embed visual tools directly inside your documents to make them more interactive and useful. Simply paste a supported link and choose how you want it displayed using the new bubble menu.

Currently supported:

  • Cacoo – Display wireframes and diagrams right in context
  • YouTube – Embed videos to support presentations, walkthroughs, or tutorials
  • Figma – Add live design previews for seamless team collaboration
  • No more switching tabs or losing context—everything your team needs is right in the doc.
